Specifications include, but are not limited to: a. Lodging • For the nights of May 7 & 8, 2024, the State may require a block of up to 20 single-occupancy and 20 double-occupancy lodging rooms that include a private, attached bathroom. • MnDOT will supply a housing roster to the selected hotel by April 23, 2024 and pay for these rooms via a State of Minnesota purchase order. If MnDOT does not reserve the full block of rooms, MnDOT will not be liable for the unused rooms. i. Date: May 7, 2024 1. Number of rooms per night: Up to 20 single-occupancy and 20 double-occupancy lodging rooms that include a private, attached bathroom. 2. Check in: Starting at 4:00 p.m. or earlier. ii. Date: May 8, 2024 1. Number of rooms per night: Up to 20 single-occupancy and 20 double-occupancy lodging rooms that include a private, attached bathroom. iii. Date May 9, 2024 1. Check out shall not be required before 11:00 a.m. or after. iv. Amenities 1. The lodging facility must provide a free breakfast daily that includes both hot and cold food items. 2. The lodging facility must provide free on-site parking. b. Catering i. Caterer must provide up to 60 boxed meals that include cold meat sandwiches, pasta salad, chips, cookie and a bottle of water. Caterer must also be able to provide gluten free or vegan options if dietary restrictions are identified once registration is complete. ii. Caterer must be able to deliver boxed meals to the Minnesota Department of Transportation located at 3725 12th Street North, St. Cloud, MN 56303 by 11:30 am on Wednesday, May 8, 2024. iii. A final count of boxed meals will be given to the caterer by no later than April 23, 2024.
