Specifications include, but are not limited to: provide ongoing project management services, technical project-specific analytic tool development, and subject matter expertise for the continued design, development, and implementation of the Integrated Data System projects, including HealthFacts RI, the Data Ecosystem, and associated needs. The ongoing need for Project Management is expected to be approximately 4 FTE for the Ecosystem and HealthFacts RI combined, with additional Subject Matter Expert hours to range from 80-240 hours per month depending on need. More intensive project specific technical analytic tool development support is expected to be approximately 15 FTEs. This would support activities related to data architecture, data modeling, data integration, and data report and dashboards generation. The State expects to have a minimum of 9 FTEs for the Ecosystem work and 6 FTEs for the APCD. 1. Project Manager Specific Activities and Tasks (4 FTE) Project managers must employ the fundamental principles of PMBOK, use existing project governance, and work in partnership with the independent staff and working groups of HealthFacts RI and the Data Ecosystem to implement the respective projects. a. Meeting Support The following tasks will be the responsibility of the vendors providing support for the meetings in Table 3: • Distribute agendas to the meeting participants no fewer than 24 business hours in advance of the meeting. All meetings require timely and relevant agendas. • Facilitate meetings which requires continuous review of meeting participants to ensure availability. • Provide meeting support such that all meetings, whether in person or virtually, are setup to accommodate the group (room space, phone lines, etc.). • Distribute meeting minutes, inclusive of action items (including ownership and deadlines), noted risks, issues, and escalations no later than 48 hours following each meeting. • Create memos, presentations, and other decision formalization.
