Specifications include, but are not limited to: A. Event Concept and Design The Offeror shall create and design various events that meet the OHA’s goals and objectives. This may include, but may not be limited to, the following: 1. Providing insights and creative ideas to make events engaging and memorable for the attendees; 2. Suggesting innovative event formats, theme ideas, and entertainment options; and 3. Creating a mood board and designing the event layout. B. Budget Planning The Offeror shall prepare a detailed budget plan for each event which clearly outlines and itemizes all expenses associated with the event including, but not limited to, the following: 1. Venue rental costs; 2. Catering costs; 3. Permitting and licensing costs; 4. Entertainment costs; 5. Décor; 6. Administrative fees; and 7. Other fees and costs. C. Venue and Vendor Selection 1. The Offeror shall identify suitable venues and vendors which align with the OHA’s vision and budget. 2. The ideal Offeror will have established relationships with various vendors and suppliers. 3. The Offeror shall scout locations, negotiate vendor contracts and agreements, and coordinate and monitor vendors to ensure delivery on contractual obligations. D. Event Timeline and Runsheet The Offeror shall create a detailed event timeline and run sheet which outlines the schedule of events for the day(s) of the event(s), including the order of activities, setup times, and break-down times.
