Specifications include, but are not limited to: Prospective vendors must provide a marketing system with all of these specifications: • User-friendly graphical user interface for staff to manage software. • Customizable Templates. Provide templates to create attractive and engaging newsletters, surveys, website, social media, emails and alerts. Templates should be printable and have export capabilities to allow a variety of media to be embedded (pdfs, web links, photos, video and audio files). • Mobile Compatibilities. Email system must allow content to be compatible with and accessible on all mobile devices. • Segmentation Options. Ability to segment email lists to reach a statewide audience, by island and branch; by age levels (adults, teens, children, seniors, families); job seekers; small businesses and entrepreneurs; patrons with disabilities; under-served populations; new residents and immigrants to Hawaii; visitors; students, teachers and interest groups. • Automated campaigns. Emails sent on birthdays, welcome messages for new library accounts, program alerts, service and resource announcements, and special events. • User roles and access capabilities. Administrators would have full privileges and unlimited access; branch staff would have lesser privileges and limited access. • Ability to customize sender addresses (i.e. administrative, support office, regional and branch levels). • Must merge seamlessly and securely with Sirsi/Horizon integrated library service’s patron data. • Handles up to 500,000+ email accounts or more. • Data Security and Data Privacy. Protect patron data from unauthorized access and use by providing strict controls over who sees personal information. System must secure data and detect malware, spam, phishing and spoofing. • Continuous updates to email distribution lists. Provide options to add new subscribers and easily unsubscribe. • Allow recipients to opt in/opt out of marketing campaigns and offers based on reading preferences, information searches and event interests generated by AI technology. • Self-service reporting systems and statistics. Reports to include, but not limited to: delivery rate, open rate, click rate, unsubscribe rate, inactive and bounce rate. • Appropriate and relevant training for administrative staff who are managing all aspects of the marketing system and reporting system. Basic training for branch staff with limited access and privileges. • Set up.
