Specifications include, but are not limited to: Fleet Services Management System capable of tracking, storing, managing, billing and reporting on all information pertaining to vehicle and maintenance assets.; The proposed work generally consists of the ability to meet the following needs to assist the University of Arizona Motor Pool and Garage management and staff in maintaining and managing assets as efficiently and cost effectively as possible.; 5.1.1 Fleet Management 5.1.1.1 For 1,500+ vehicles, carts, trailers. 5.1.1.2 The ability to track these vehicles from acquisition to disposal.Track maintenance for these vehicles including, but not limited to, repairs, scheduled preventive maintenance, annual inspections and recalls. 5.1.2 Billing 5.1.2.1 Capable of creating invoices for Motor Pool rentals and Garage work. 5.1.2.2 Ability to create reports based on invoices generated. 5.1.3 Time and labor: 5.1.3.1 Ability to track time and labor for employees. 5.1.3.2 Job/task coding with ability to add and customize repair or task codes. 5.1.4 Garage inventory: 5.1.4.1 nventory control and tracking for Garage parts inventory. 5.1.5 Reporting capabilities: 5.1.5.1 The system should provide canned reports. 5.1.5.2 A minimum of (25) custom reports. 5.1.5.3 Ability to export reports in various formats including Excel and CSV. 5.1.5.4 Ability to schedule tasks for automated report creation with the option to email to individual(s). 5.1.6 Training: 5.1.6.1 Onsite training(s) for successful implementation. 5.1.6.2 Onsite check in three (3) months after implementation. Including, but not limited to, additional training required, resolving issues encountered. 5.1.7 Fuel inventory and usage: 5.1.7.1 The current fuel systems in use are Petro Vend with Gasboy dispensers. 5.1.7.1.1 Integration is not required; systems are included for your reference. 5.1.7.1.2 If integration is not possible, the system must accept a flat file import. 5.1.7.2 Tracking by individual asset (vehicle) usage. 5.1.7.3 Ability to provide bulk receipts and individual receipts. 5.1.8 Motor Pool rentals: 5.1.8.1 Functionality to schedule and track rentals. 5.1.8.2 Ability to create and maintain rental contracts.
