Specifications include, but are not limited to: • Serve as optical team lead ensuring effective and efficient patient eyewear frame styling and selection, prescription ordering and eyewear dispensing. • Timely ordering of all frames for use in the See to Succeed program from the vendor identified by City of Houston. • Set up delivery schedules for all opticians from West End Health Center to assigned schools • Ensure timely submission of mileage reimbursement for all opticians associated with deliveries and conducting city business. • Coordinate the fitting of glasses on student patients for approximately 650 schools during eye glasses deliveries Data Entry • Obtain list of schools with school campus ID's from City of Houston • Set up and maintain account with Essilor for Changing Life Through Lens to facilitate eyewear processing • Follow up with City of Houston for any updated/ revised school info • 2-4 days prior to start of clinic, confirm all schools are loaded into data entry system. • Each day of clinic make sure all schools attending are loaded into the data entry system and if not troubleshoot with all entities involved for proper resolution • Train data entry staff daily to order glasses on in the identified data entry system • Sort orders by school as needed • Create Excel spreadsheet for each day of clinic with student info, school info and any necessary comments (2 pairs, referrals, follow ups etc.) • Cross-reference paperwork to entries on excel to ensure they are correct • Prepare glasses to be shipped at the end of each clinic day or weekly as needed and determined by City of Houston • Participate in weekly or periodic debriefing meetings with City of Houston staff and make recommendations Delivery and dispensing process • Recruit opticians for deliveries • Prepare for delivery by confirming School names, addresses and contact information • Contact each school identified liaison to schedule delivery getting verbal confirmation. • Prepare folders with school info, recap sheets and any notes pertaining to delivery for each school • Set up home base at clinic site for delivery preparation • Coordinate to receive and sort shipment of glasses by school (typically 1 to 2 days before delivery week) • Follow up with all delivery opticians confirming meeting time and location • On a tracking spreadsheet, update dispensing log daily during delivery weeks to reflect glasses dispensed and make any necessary notes/comments • Forward spreadsheet weekly to the identified City of Houston program liaison • Ensure optical area is set up prior to clinic weeks and fully stocked with needed supplies
