Specifications include, but are not limited to: 1) All mechanical equipment, hardware, and software must guarantee compatibility with all equipment, hardware, and software currently comprising Fort Hays State University Printing Services production workflow. 2) All proposed equipment, hardware, and software must be new with applicable warranty. 3) All quotes must include service and maintenance and must be fixed for an entire sixty (60) month contract period. Contractors agree to provide full service maintenance for all mechanical equipment, hardware, software, and include applicable software licenses and fees for the entire sixty (60) month contract period. 4) Full Service Maintenance Includes: a. Authorized service shall repair or correct equipment/software as required to maintain it in good working order so that work delays and associated problems are minimized. In the event equipment/software exhibits continuing breakdowns or poor quality, the state reserves the right to require exact replacement equipment/software. b. Service must be available between the normal working hours of 8 a.m. and 5 p.m. Monday through Friday, except normal holidays. c. Response Time: Vendor guarantees a quarterly average in-person response time of 2 to 6 hours for all service calls located within a 30-mile radius of any company office, and 4 to 8 hours for service calls located within a 31- to 60-mile radius for the term of the Order or Lease Agreement. Response time is measured in aggregate for all equipment covered by a Lease Agreement. d. Uptime. Vendor will service the Equipment provided under an Order or Lease Agreement to be operational with a quarterly uptime average of 95% (based on manufacturer’s performance standards and an 8-hour day, during normal business hours, excluding weekends and company recognized holidays), excluding preventative and interim maintenance time. e. Downtime will begin at the time FHSU Printing Service places a service call to company. FHSU Printing Service agrees to make the equipment available to company for scheduled preventative and interim maintenance. FHSU Printing Service further agrees to give company advance notice of any critical and specific uptime needs FHSU Printing Service may have so that company can schedule with FHSU Printing Service interim and preventative maintenance in advance of such needs. 5) Provisions shall be made and clarified by the contractor for providing copy credits for all copies made that are unusable as a result of service calibration and/or machine malfunction.
