Specifications include, but are not limited to: The University of Louisville is seeking turnkey proposals from qualified rental contractors for the supply, delivery and installation of white hospitality tents and accessories for various events that take place at the University of Louisville on its three campuses: Belknap, Health Sciences and Shelby. For Contractual purposes, a rental period shall mean the 24 hours prior to the event through 24 hours after the conclusion of the event. For circumstances where the event is more than one day the contractor shall be compensated as indicated within the price proposal and established contract. As requested by the using department the awarded contractor shall deliver and install requested tents and accessories within 24 hours of event date. Removal of all rental items shall occur within 24 hours after event unless prior arrangements have been confirmed with the end user. The contractor will be expected to provide periodic and documented maintenance checks on all tents that have been up for three (3) days or longer, and again as soon as possible in the event of adverse weather conditions. In the event of adverse weather or potentially dangerous conditions beyond the control of the contractor or the university, the University will, to ensure safety throughout the event, consult with the contractor on whether to continue or cancel the event if in the judgment of both parties it would be unsafe to proceed. The University anticipates the using multiple sized tents during the term of the established contract. The University reserves the right to add additional tent sizes, accessory items, and rental periods to the established contract upon mutual consent of both parties. Should a tent size not be available to a requesting department during the life of the established contract the contractor shall provide the next size tent at the smaller sized tent rental price.
