Specifications include, but are not limited to: The intent of this solicitation is to contract with a local vendor that can provide new sales of electric embossers as well as repair and maintenance of existing embossers for the Maricopa County Department of Public Health’s Office of Vital Registration (OVR) office. The OVR must utilize heavy-duty high-volume embossers that provide the Maricopa County official raised seal when used. This seal is a required feature that legitimatizes and certifies the unique vital record that is issued by this office to an eligible applicant on its security bank note paper for all Arizona birth, death, and fetal death certificates. The OVR issues and embosses over 340,000 certificates each year to Maricopa County constituents and residents and currently has approximately 35 embossers in its inventory. As a result of the program’s high-volume and embossing of thicker security banknote paper, the OVR must routinely replace and retire embossers that can no longer provide an even thoroughly raised quality seal following multiple calibrations, maintenance, and/or repairs. OVR has an immediate need of ten (10) electronic embossers to be purchased prior to December 31, 2023. This solicitation seeks to receive pricing on these initial ten (10) new purchases as well as establish a fixed-term contract with a local vendor that can supply all new equipment on an as-needed basis as well as provide maintenance and repair services on existing equipment for the next two years. A local vendor who can provide timely servicing onsite at the various OVR offices is required to ensure OVR’s security auditing standards. Multiple and/or partial awards may be made based on what is deemed to be the most advantageous to the County.
