Specifications include, but are not limited to: Lodging Requirements: Training attendees will be housed overnight(s) at the vendor’s lodging facilities. It is expected that attendance can reach up to 150 people, though it may vary throughout the duration of training. It is critical that the vendor is able to provide accommodations for attendees. Lodging facilities shall provide modern amenities with up-to-date furnishings. A variety of rooms are needed for training, including single rooms and double rooms. Double or triple rooms with separate beds shall be made available wherever possible at the prevailing GSA or comparable best rate. Conference Space Requirements: Conference spaces will be needed throughout the duration of the training. Conference Spaces shall include: • One theater-style room able to hold approximately 135 guests. • 2-4 separate smaller break-out meeting rooms, each able to hold approximately 25-40 guests. All conference spaces should include necessary A/V equipment for meeting presentations, as well as the on-site set up, testing, and breakdown of A/V equipment. A/V equipment should include microphone and PA system, projector stand, electrical cords, and appropriately sized projector screens (project screens should be at least 100 inches wide for the theater-style room and at least 72 inches wide for break out meeting rooms). If A/V equipment is unavailable, vendor should comment on whether they could coordinate A/V equipment rental and on-site support of A/V equipment set up. Conference facilities must be able to accommodate the estimated number of people with unobstructed views and an appropriate quantity of tables and chairs. Conference rooms furnishings shall be modern and meet the comfort needs of attendees who will be sitting for extended periods over several days. Conference facilities shall provide a positive learning environment for attendees. A representative from the venue shall be on-site and available to Vermont State Parks staff during all training sessions for any needs or questions. Food and Beverage Requirements: All meals shall be provided to training attendees during the duration of training, by the vendor. Food and Beverage shall include the following meals. Vendors should provide pricing and potential sample menus for, at minimum, the below meal offerings at a per person rate (gratuity rate must also be specified): • Continental Breakfast • Full Hot Breakfast • Morning Coffee/Tea Break • Buffet Lunch • Boxed “to-go” Lunch • Afternoon Coffee/Tea and Snack Break • Buffet Dinner
