Specifications include, but are not limited to: An Invitation to Bid (IBT) is presented here to qualified vendors wishing to submit bid(s) to lease or sell vehicles or equipment to the City of Ames (City), to be used to aid with administrative and maintenance services provided by the City. Minimum specifications for each unit have been developed to meet the job requirements and adopted service levels. Individual unit minimum specifications are provided on the attached pages. All units shall be a current model under standard production by the manufacturer. All units are to be furnished complete with standard equipment and accessories as listed in manufacturers printed literature, plus the additional items specified herein. All equipment and options must be factory installed where possible. All items installed by the dealer or subcontractor to the bidder must be noted by the bidder. Subcontractors and their scope of work shall be disclosed in the bid documents. The City intends to award the contract to lease, or to purchase, based upon the best overall value to the City. Appropriate City staff will evaluate each bid (quote, and lease) to determine the offer is acceptable and feasible. From the acceptable offers one (1) single net lowcost offer will be identified. City staff, and ultimately the Ames City Council will make recommendations to award the contract or reject the bid(s). These new units will replace a 2019 Case, model 590SN, 2013 Case 580SN, and 2017 CAT 430 F2. The new units will be used primarily by the Public Works Divisions for water utility, sanitary and storm sewer, street maintenance, roadway repair, and snow removal. Trade-in offers for the City’s existing machines can be submitted as an optional credit toward the first part (head end) of the lease period, or lump sum payment in full at the start of the lease when new machines have been delivered and accepted by the City. Loaner / Replacement: The vendor’s guarantee to provide, upon receipt of notice by the City, a loaner or a replacement of comparable size and performance (at no additional cost), for a leased machine that fails to be reliable or meet the performance expectation of a healthy machine. The leased machine will be repaired and back in service within 72-hours post-notice or a loaner/replacement machine of equal size and performance will be delivered to the City of Ames at 2207 Edison Street, Ames, Iowa 50010. (see dealer/vendor responsibilities below) Lease Start: All units of new condition will be delivered to City, Fleet Services Department, 2207 Edison Street, Ames IA 50010 on the first business day of the lease period.
