Specifications include, but are not limited to: The following outlines the equipment and services required. 1. EQUIPMENT a. The equipment will be located at 309 South 3rd Street, Las Vegas, NV 89101. b. New Equipment – PROPOSER shall provide to COUNTY equipment, which is new, and of the latest and most improved model of current production and shall be of first quality as to workmanship and materials used in said units. c. One black & white - with a stapler, high-capacity paper drawers and high-capacity stacker. PPM 135 of higher, 8.5 X 11 single sided. Five paper drawers, cover insertion mode can replace one paper drawer. 8 ½ x 14 & 12 x 18 capability d. One black & white - with a booklet maker with trim, stapler, high-capacity paper drawers and high-capacity stacker PPM 135 or higher, 8.5 X 11 single sided. Five paper drawers, cover insertion mode can replace one paper drawer. 8 ½ x 14 & 12 x 18 capability. e. One color printer - duplex, high-capacity paper drawers, high-capacity stacker and booklet maker with trim. PPM 75 plus 8.5 X 11 single sided. Four paper drawers. 12 x 18 printing capability. f. 2 stand-alone workstations and all necessary equipment and software in order to edit and manipulate scans, signature booklet creation & editing, multiple up creation, and tab creation needed to operate scanners and printers. g. One 44” single roll wide format printer with stand, minimum dpi 1440 x 720, 5 color. h. All must be compatible with Windows 10 x64bit at the time of installation. a. Computers will be upgraded to Windows 11 in 2024, 11 x64bit and will need to be compatible. i. Stand-alone full color envelope printer 2. EQUIPMENT MINIMUM REQUIREMENTS a. Be capable of continuing with the COUNTY’s current workflow. 80% of jobs submitted electronically, and 20% scanned. b. Fit in the existing printer location. Exhibit A, Attachment 1 – Floor Plan shows the floor layout with power. Proposers will have an opportunity to view the actual floor layout at the Pre-proposal meeting. c. Be capable of using external RIPs for the black and white and color machines. If equipment has an embedded controller, it must have all the capabilities of the external RIP. d. Be able to print stocks from 140lb cover .013 to carbonless .003. including tab stock. e. Be able to print special cut corner paper used by COUNTY. See Sample 1, Paper Cut., it shows a picture of the paper cut reduced from its 8½” x 11” size. The actual papercut will be shown to the awarded Proposer. f. paper sizes 8 ½ x 11 to 12 x 18. 3. REPLACEMENT SCHEDULE a. Equipment needs to be replaced in phases so the print shop can continue production. b. Hours of operation for removing and installing equipment are Monday through Thursday, 6:00 a.m. to 4:00 p.m. c. Attached is a drawing of Production Area with existing power drops. Proposer will ensure that: i. new equipment shall fit the area; and ii. power may need to be upgraded to meet the requirements of the new equipment. It is the proposer’s responsibility to install additional power drops. Existing power drops are on the floor plan with existing electrical feeds. Proposers may need to provide special receptacles to ensure equipment can be connected to existing power drops. 4. INSTALLATION a. PROPOSER shall be responsible for all installation, including the removal of all residual packing or shipping materials. If requested, an authorized factory representative for PROPOSER shall be present during installation, at no charge to COUNTY. b. Should the product fail to operate properly upon start-up, PROPOSER shall provide the services of a field engineer, as needed. This service shall be furnished at no additional cost to COUNTY. c. Payment for installation will not be made until PROPOSER has approved and tested as operational. Final payment will be made when each installation has been tested, approved, and accepted. Acceptance shall be defined as the full installation of the system and operation of the system for 5 (Five) full days with no operational breakdowns. 5. PARALLEL TESTING - OWNER shall require testing of the selected printer, prior to award of contract. The new equipment shall be located at PROPOSERs location prior to installing onto COUNTY premises. Testing will include: a. Installation and setup of the selected printer by the PROPOSER according to COUNTY’s set-up procedures. b. OWNER shall submit a selected number of print-jobs that utilizes the printer asset; and c. Testing will include stock paper and forms.
