Specifications include, but are not limited to: Provide all necessary chemicals, materials and equipment to perform the required car washing services and provide appropriate tools and equipment necessary to support all aspects of vehicle washing services. Provide industry standard interior and exterior washing scheduled on a monthly basis or as DHHS requires. The Contractor must ensure all work areas and nearby storm drains are protected according to state laws and regulations. Provide deep cleaning and detailing services. Obtain the keys to the state vehicles from the facility designee and be held responsible for replacement of any lost keys or any other damage that occurs during car detailing. Ensure the state vehicles are free of odor, dirt, dust, residue, and water marks after each wash. DHHS may inspect any vehicle upon completion. DHHS will notify the contractor of concerns about state vehicle cleanliness. State vehicles will be cleaned as scheduled and to job specification 100% of the time to satisfy these requirements. Identify a contact person who is available during business hours between 8 a.m. and 5 p.m. Mountain Standard Time, Monday through Friday to receive calls and emails from DHHS The Contractor’s response to a DHHS request must be addressed within one business day of the initial call or contact. Coordinate with DHHS designated staff at least 10 days before the end of each month to schedule the dates and times when vehicles will be cleaned during the upcoming month (“cleaning schedule”). On days with inclement weather, DHHS or the Contractor may reschedule cleanings within one business day of the scheduled appointment and the Contractor will accommodate this change. Ensure DHHS designated staff receive confirmation from Contractor staff upon completion of car detailing for cars assigned to the DHHS designated staff’s division via email within one business day. Texts to the DHHS designee are acceptable with confirmation from the DHHS designee. Ensure the Contractor’s employees will not have contact with any minors that may be coming or going from any DHHS facility. Inform DHHS designated staff two days in advance if the staff performing the car detailing at the facility are going to be different than the regular assigned staff and ensure the new employee has been trained in DHHS processes for cleaning cars.
