Specifications include, but are not limited to: ▪ Index to Deeds Grantors & Grantees (62 volumes); ▪ Miscellaneous Index Direct & Inverse (9 volumes); ▪ Deed Records (293 volumes); ▪ Miscellaneous Records (89 volumes); ▪ Oil and Gas Leases (5 volumes); ▪ Index to Ranches, Ditches, Placer Mining (1 volume); ▪ Ranches, Ditches, Placer Location, Water Rights (14 volumes); ▪ Index to Quartz Lode Direct & Inverse (6 volumes); ▪ Index to Lodes Grantors & Grantees (2 volumes); ▪ Lode Records (29 volumes); The project will require the following services: ▪ Secure, in digital format, essential historical County records to protect against natural disaster, water, fire loss, and general deterioration of the original books. ▪ Improve office efficiency in accessing records by either: o A web-based digital archive with user-friendly digital search features; or o Importing and indexing images into existing software used by the County (i.e., Tyler Technologies’ Eagle Recorder). ▪ Enhance image quality representative of original pages. ▪ Incorporate a high-functioning Optical Character Recognition (OCR) system able to service the entirety of each defined records category (e.g., mortgage records, deed records, etc.). ▪ Provide direct-document access between Indexes and Records in categories of Patent and Land Record documents. ▪ Create a fully indexed and functional search/retrieval process for users of historical record collection by book/page without any back-indexing required of Clerk and Recorder staff.
