Specifications include, but are not limited to: Task A: Outreach Strategy 1. Project Scoping and Outreach Goals • Hold a kickoff meeting with staff to establish outreach goals and schedule • Provide a written summary of the kickoff meeting to ensure consultant and staff agree on the shared goals, expectations, schedule, and deliverables 2. Identify the Right Outreach Methods/Engagement Techniques • Meet with staff to evaluate a broad range of outreach methods, including, but not limited to community events, interviews, news media, public meetings, presentations to governing bodies, questionnaires/surveys, roundtables/forums, social media, website. • Provide a written summary of the recommended outreach methods/engagement techniques that includes the outreach purpose (e.g., inform, involve, collaborate, consult) and example activities. 3. Develop Outreach Materials • Develop print and/or digital materials necessary to implement the recommended outreach activities. Task B: Staff Retreat Planning and Facilitation 1. Project Scoping and Retreat Goals • Hold a kickoff meeting with staff to establish retreat goals and schedule (can be combined with kickoff meeting for Task A) • Provide a written summary of the kickoff meeting to ensure consultant and staff agree on the shared goals, expectations, schedule, and deliverables 2. Staff Retreat Planning • Develop the framework and agenda for a 2-day retreat • The agenda should include a variety substantive discussions, interactive activities, and other methods/techniques to engender creativity and input 3. Staff Retreat Facilitation (at least 1 day, 2 if budget allows) • Retreat facilitator should guide interactive activities and moderate discussions and report outs • Retreat facilitator will record key information, decisions, agreements made
