Specifications include, but are not limited to: Transcript data extraction solution hosted in a cloud environment will meet the following specifications: 1. User friendly graphical user interface (GUI) and single sign on authentication via a central authentication service (CAS) 2. If solution is web based, it should be accessible on major web browsers via the internet. 3. FERPA and Clery compliant. 4. Hosted within a secure data center. 5. Permission based with defined roles. 6. Capable of importing/exporting data. 7. Capable of providing an audit trail/logs/tracking for any action in the database. 8. Capable of generating both automated and custom reports from queries. 9. Capable of interfacing with other 3rd party products including but not limited to Banner and Slate. 10. Capable of encrypting data. 11. Capable of restricting access to data, system is password protected. 12. Capable of identifying and extracting key data fields such as student name, ID, course names, grades, and other relevant information from college transcripts. 13. Capable of extracting data from PDF transcripts of variable format into a standard machine friendly format such as a CSV, XML, JSON, etc. 14. Allow for customization and flexibility in terms of the data fields that need to be extracted and the format in which the data is exported. 15. Ability to pre-populate data into a dynamic format. 16. Able to calculate and display a transferrable college GPA based on comparisons to OSU’s course equivalency tables. 17. Able to read high school transcripts in near future. 18. Able to process a large volume of transcripts quickly and efficiently. It should be scalable to accommodate future increases in the volume of transcripts. 19. Able to display report of transferrable courses for current students. 20. Able to display report of transferrable courses for prospective students. 21. Interface should be able to report on various data metrics, including but not limited to how many courses from XYZ transcript were transferrable, how many were read successfully, how many were previously seen, etc. 22. Solution should operate with less than 5% downtime. 23. For clarification to the specifications above, the database will also have the following desired functionality: 1. Staff will be able to access transcript upload and edit history inputted into the solution. 2. Statistics and trend reporting with a customizable dashboard option and the ability to export report data to Microsoft Excel will be available. 3. Solution will provide automated user password reset. 4. The solution will be compatible with OSU’s information technology systems including the Student Information System (SIS), Banner. The solution will also be able to interface with Slate.
