Specifications include, but are not limited to: The Town of Fairfax is requesting proposals for: 1) the scanning and indexing of property record files; and 2) a document management platform. The property record files are public documents and shall be maintained by the Town and returned to the Town in the order they are provided to the selected vendor in. The Town has approximately 1,125 linear inches of containing letter-sized documents (both single-sided and duplicate), legal-sized documents, 24” by 36” folded plans, and occasionally photographs. The Town has two types of property record files: subdivision and permit files. Approximately two-thirds of the files, subdivision files, have at least one plan. The Town wishes to digitize these files and make them available online for public viewing via a document management platform. The platform should be free of charge for public viewing and intuitive for the general public to look up a file by parcel id and/or address. Upon the conclusion of the scanning and indexing project, the management platform should allow Town staff to upload and index new files into the platform.
