Specifications include, but are not limited to: This Invitation for Bid (IFB) is issued by the TSS Office of State Procurement (TSS OSP) on behalf of the Arkansas Crime Information Center (ACIC) to obtain pricing and a contract for Conference Room Services. A. The Prospective Contractor’s facility must be in the Little Rock metropolitan area or Garland County. B. The conference will be for three (3) consecutive days - proposed dates must be in the months of September or October on a Tuesday, Wednesday, Thursday or a Wednesday, Thursday, Friday. The Prospective Contractor shall detail any parking fees. If the venue has parking fees, the fees must not exceed $6.00 a day for attendees or ACIC staff. A. The Prospective Contractor shall provide a date and time vendors will have access to set up their booths. B. The Prospective Contractor’s facility must provide a designated area for ACIC to unload and deliver conference materials. C. The Prospective Contractor shall provide for the number of comped rooms and/or room comps for ACIC staff if conference is outside of Pulaski County. D. For purposes of setup and breakdown, the Prospective Contractor shall provide access to ACIC designated staff to meeting rooms and storage room no later than 3:00 p.m. CT the day before the ACIC conference begins. E. The Prospective Contractor shall provide a registration area for ACIC staff with at least four (4) tables with the option to add another in an agreed upon location.
