Specifications include, but are not limited to: 1. Vendor will design, procure, and install a new hybrid meeting system, which will fully replace the existing system to improve our audio and video capabilities, improve reliability and ease of use. a. Provide design drawing of new audio, video, and sound systems to the City. b. Provide a listing of all labor and materials to install the complete audio, video, and sound systems. c. Supply all required equipment and installation components to provide a turnkey system. Supply interface and mounting components and cabling, connectors, and other installation materials. d. Perform complete system installation, including removal of legacy equipment. e. Provide secured equipment rack with a dedicated Uninterruptible Power Supply (UPS). f. Provide enterprise network switch for equipment communications if required. g. Supporting infrastructure (conduit, electrical, cabling, etc.) will be performed by vendor. h. The Council Chamber must be cleaned and left in a usable condition during any construction and/or installation period. If the Council Chamber must be closed for the vendor to complete work, the closure should be scheduled at east two weeks in advance unless approved in writing by the City. Final switchover from the old system to the new system shall be scheduled at least two weeks in advance and should be scheduled to minimize impacts to regularly scheduled meetings of City Council or other boards and commissions. i. Include a user’s manual on how the system is operated and maintained. j. All equipment and cabling should be neatly managed and have no trip hazards. k. After all systems are installed, testing and adjustments will be made to ensure compliance with the established criteria. The City will be present to observe testing.
