Specifications include, but are not limited to: The DOM Office of Accountability and Compliance invites the submission of quotations for a full-time Administrative Coordinator position. DOM is seeking a motivated, detailed oriented, experienced Administrative Coordinator. This position reports to the Deputy Administrator for Accountability and Compliance, coordinating all administrative activities of the Office and its four functional areas (Compliance, Financial and Performance Audit, Program Integrity, and Internal Audit). Personnel Records • Maintain all Continuing Professional Education (CPE), Continuing Legal Education (CLE), and other training and certification requirements for staff in the four functional areas. Assist with registrations when requested. • Monitor and track employee performance assessment staff due dates and completion dates; Assist in the management, related workflow, and storage. • Retain a schedule of upcoming leave requests of program area staff. • Maintain an interactive schedule of upcoming staff meetings, training sessions, and assist with the coordination of online meetings for employees and management. Travel Records • Assist employees and management, within the four functional areas, with the completion of travel requests and related forms including facilitating necessary Office, departmental, and executive approvals. • Maintain a current record of employee travel dates, including locations and contact information, including field auditors and investigators current schedules. Operational Documentation • Assist the Deputy Administrator and management, within the four functional areas, with the creation and retention of administrative and operational documents, including internal communications, alerts, and related reports. • Prepare and retain all administrative documents requested by the Deputy Administrator. • Monitor, track and prepare for signature, execution and storage of routine administrative documents and operations of the Deputy Administrator and management within the four functional areas). • Maintain Administrative calendar. • Maintain organized electronic files of reports, letters, and other information routed through the Deputy Administrator’s office. • Submit/order requests for supplies, equipment, training, etc. • Maintain records of expenditures; work with Deputy Administrator to monitor budgets of functional areas. • Aid with the compilation of functional area performance measures, annual plans, and accomplishments, including recoupments, case resolutions, completed projects, etc. • Other duties as assigned.
