Specifications include, but are not limited to: 1.1. The Vermont Emergency Preparedness Conference is an annual conference for an audience of emergency responders and emergency management personnel from across the state. 1.2. Location: This conference can be held anywhere within the state of Vermont. 1.3. Conference dates and times: This conference will be held on consecutive days in September. The conference space will be used by participants 7 AM to 6 PM on day 1 and 7 AM to 4 PM on day 2, and will need to be available to conference staff at 3pm the day before the conference. Throughout set up and the conference, the space shall be used exclusively by the state and conference participants. Preference will be given for vendors that propose dates that include a Friday and/or Saturday. 1.4. Expected Attendance: Expected attendance for each day is approximately 200. 1.5. Meals: Continental breakfast, buffet lunch, and refreshments for 4 breaks (2 morning and 2 afternoon) will be provided each day for approximately 200 attendees. On the first day of the conference, refreshments will be needed for an additional pre-dinner break session for approximately 85 attendees. Preference will be given to vendors that have an on-site restaurant open for dinner the first night of the conference.
