Specifications include, but are not limited to: KUMC seeks to procure bids for a Workspace Scheduling Tool. The University of Kansas Medical Center is seeking bids for a Workspace Scheduling Tool that can be integrated into our current workspace environment. Based upon feedback from the main user-group at KUMC, the following list includes product specifications that KUMC has deemed necessary to meet its needs in a Workspace Scheduling tool: 1. Having both a website and a dedicated mobile application compatible on both Apple and Android operating systems. (If the application can be interlinked with Duo Mobile Security through our KUMC single-sign on that would be optimal for two-factor authentication purposes.) 2. Being able to view availability and reserve a space through a visual workspace map interface. The map should be interactive. The user must be able to see a “bird’s eye” visual map of the physical workspace and should be able to make reservations by clicking on an individual desk or conference room. 3. Should be able to custom number/name each of the desk spaces and conference rooms when either uploading or designing the visual map for the workspace scheduling tool. 4. When a user reserves a desk space, the visual map should show the name of the user who reserved that space and show that it is “blocked out / reserved.” This allows all other users who are viewing the map to know both the spot is reserved and see where certain individuals on their teams are sitting in the office on that particular day. 5. The ability for a user to reserve conference rooms (possibly through Outlook integration). The user making the reservation should be able to designate/link all users attending the meeting to the conference room reservation at that time. This would allow all other users to know that a conference room has been reserved and know who all is in attendance for that meeting in case they are looking for that person in the office at any given time. 6. The ability for a user to setup a one-time recurring reservation. For example, a user should be able to go in and setup a recurring reservation for a desk space every Thursday through a certain period of time. (3 weeks, 4 months, etc.) 7. Users should be able to make both reservations at an individual desk (all day) and they should be able to reserve a conference room during the day for themselves and others, without needing to forego their current desk reservation. 8. The ability to reserve a space up to 12 hours a day on a single reservation. Our system currently only allows a single reservation for up to 8 hours. 9. The ability to edit already pre-existing reservations easily. Our current system does not allow edits to reservations. Instead, the user currently must delete their reservation entirely and setup a new one.
