Specifications include, but are not limited to: 1. Media and Communications Materials (30% of Service time) a. Draft monthly agenda and presentation materials for and coordinate and facilitate monthly Department Town Hall Meetings. b. In consultation with DOL leadership, develop press releases about DOL activities, and serve as the primary media liaison for the organization. c. Ensure relevant communication resources are in place and utilized such as graphic design and translation of materials. d. Provide and ensure a consistent look and branding to all DOL communications collateral, including the website in coordination with applicable parties within the state’s governance. e. In consultation with DOL leadership, work with the graphic designer and internal DOL staff in the development of a consistent suite of DOL promotional materials, including brochures, flyers, fact sheets, program tools, and survey summaries. f. Provide editing input for consistent style and grammatical correctness for all DOL communication materials, including media and website communications. g. Serve as the point of contact and consultant when new materials for outreach both external and internal are required and lead the development of needed materials. h. Ensure DOL including the individual divisions have proper subscriptions or applications to support communication needs and make recommendations for needed changes or consolidations. 2. Social Media and Web Support (30% of Service time): a. Provide editorial oversight of website content, in collaboration with DOL IT lead and any other relevant entity to ensure up to date information, accuracy, and relevance. b. Lead and coordinate social media maintenance, with the goal of ensuring that new information (article links, stories, events) is posted regularly. c. Research and establish links between DOL and relevant partner websites. Periodically review links to ensure functionality and relevance. d. Compile and maintain a list of relevant social media opportunities and work with Divisions to develop individuals to undertake interviews about their program participation experiences with DOL. e. Draft interview questions, revise as directed, and lead interviews with willing participants about their program participation experiences. f. Employ a mix of audio and video media in support of interview activities. Secure as needed the required technical consultants to help with audio and video activities. g. In coordination with Divisions, compile and archive all interview materials and responses. Secure and manage all permission waivers from interviewees. Work in close collaboration with Division staff to ensure all relevant state and departmental guidelines are properly followed. h. Use interview materials, audio and video media to create vignettes, summaries and case studies about DOL participant experiences. 3. Events Support (10% of Service time): a. In consultation with the Divisions, provide tactical support for community-wide events as needed and smaller, targeted events, including development of marketing and event materials, and outreach to participants and attendees. b. Lead planning and implementation efforts for any event deemed appropriate and consistent with communication plan established or other need. c. Prepare talking points and presentations for DOL Leadership speaking engagements. d. Environmental scan of relevant events for Department to participate in and serve to centralize or coordinate events occurring to enable all DOL staff to be aware of events, maximize awareness, participation, and collaboration for Department staff.
