Specifications include, but are not limited to: Services to be performed by the Service Provider under specification contained herein shall consist of furnishing all labor, equipment, tools and materials in performing all operations in connection with the examination, complete preventative maintenance, and repair services of City owned or leased exercise equipment in accordance with manufacturer’s recommendations and the requirements outlined herein. It is to be understood that the intent of the Service Provider is to provide reliable, safe operation, and maximum performance of all exercise equipment.; The work described under the following shall be performed as Preventative Maintenance and Wear & Tear Repair/Replacement by the Service Provider and unless otherwise specified. This applies to all parts of the exercise equipment: • Provide planned and systematic examinations, testing, adjustments, cleaning and lubrication at the frequency required. All lubricants, cleaning materials, rags, paint, etc., are to be supplied by the Service Provider.; • Supply, prompt repair and replace all parts of every description made necessary by wear and tear. No repairs will be permitted when good practice indicates that a replacement is preferable to insure maximum continuity of service. All replacement parts shall be of the same make as original manufacturer, if possible.; • Invoicing of repair service calls will include a complete description of all materials used, labor hours, and name of technician that performed the work. Repair work will be pre-approved by City Representative.; a) Maintenance Frequency & Practices: Exercise equipment listed is operated on a full-time basis except where noted otherwise. The Service Provider shall provide regular and systematic examinations and planned preventative maintenance and repair service for this equipment at a frequency approved by PRPP to insure all equipment is kept in best possible running order at all times. The frequency of service shall be based on the location use history. All locations may not require the same service frequency. The PRPP shall have the discretion to modify maintenance and repair schedules if budgetary constraints require such change.; Generally, a minimal amount of equipment should be out of service at any one time when performing maintenance service in a building. Service Provider shall keep a sufficient spare parts inventory, have access to inventory, or be able to fabricate parts to ensure that equipment will generally not be out of operation longer than normal for equipment customers in the market place which impedes these customers' operations. Undue delays in operation will be sufficient reason to cancel this contract. If Service Provider cannot assure that certain equipment may not be “Out of Operation” longer than normal due to the age or other factors relating to the equipment, this must be noted in proposal.; b) Addition & Deletion of Equipment: City may from time-to-time add or delete equipment, or alter frequency of service, etc., as may be deemed advisable. At the request of the PRPP designated representative, the Service Provider may be asked to do additional work not covered under the scope of complete maintenance and repair. This clause does not waive the right of the City to seek new proposals on any added work that may be required. Frequency of examinations or services cited will in no way diminish the responsibility of the Service Provider to accomplish all the other terms, conditions and specifications.; c) Service Record: Service Provider shall maintain for each exercise equipment location maintenance and service record for all equipment at that location. Any and all work done including service calls, complaints, regular checks, lubrications, testing, parts replacement, repairs and emergency calls, shall be recorded in an easy-to-read log book format. Such service records shall be kept current and at the respective equipment location and be available for the PRPP designated representative’s review at all times. The PRPP designated representative will require the Service Provider to record in the log book the date, time arrival and time departing for all visits. All prints, drawings, equipment manuals that are furnished by City for use by the Service Provider will be turned back to the City at the conclusion of the contract. Those spare parts and documents that are owned by the City will remain on the premises in their prospective equipment room or convenient place designated by the PRPP designated representative.
