Specifications include, but are not limited to: 2.1.2 Assignments and Coverage 2.1.2.1 The Vendor must check the Agency’s public hearing schedule on the Agency’s webpage to make the necessary arrangements for furnishing Reporters for all hearings and/or proceedings scheduled by the Agency. 2.1.2.1.1 Upon contract award the Agency will discuss with the Vendor the procedures to check the hearing schedules. 2.1.2.2 In the event a hearing is cancelled within seven (7) calendar days or less of the hearing date, the Vendor will be notified via e-mail or phone call from the Agency. All other cancellations will be listed on the Agency’s webpage and it is the sole responsibility of the Vendor to be aware of those cancellations. 2.1.2.3 If the Agency does not provide a cancellation notice on the webpage or as described in 2.1.2.2, and the Reporter appears at the hearing venue, the full day appearance fee will be paid to Vendor. 2.1.2.4 If a Reporter fails to appear and the Agency must procure the services of another Vendor, the contracted Vendor shall be responsible for all reporting costs resulting from such failure to appear. 2.1.2.5 The Reporter shall arrive no later than thirty (30) minutes prior to the scheduled hearing to allow for set up of equipment. This time is included in the appearance fee. 2.1.2.6 If the Reporter is thirty (30) minutes or more late for the hearing, the appearance fee will be reduced by fifty percent (50%). The Agency’s presiding officer will be responsible for ordering this reduction. The penalty may be waived, if, in the opinion of the officer there is sufficient justification for the tardiness. The Reporter should make every effort to contact the Agency in advance to report being late. 2.1.2.7 The Reporter will not be considered an employee of the Agency but is an independent contractor. 2.1.3 Travel 2.1.3.1 The Reporter will provide his/her own transportation to and from the hearing(s).
