Specifications include, but are not limited to: JCCC is soliciting bids for the on-going licensing subscription renewal of the Academic Basic VMWare Support and Services for the products specified in the Excel Spreadsheet Exhibit A Pricing, which lists all products, description, and bid quantity(s) [refer to separate downloadable Excel pricing sheet]. The subscription coverage term shall be for the period of September 1, 2022 through August 31, 2023.; Account Number: 113763493; Account Name: Jccc; Support Services Requirements: The Contractor shall provide a single point of contact Account Manager who will provide, at a minimum, the following support services: a. Options Analysis – In many cases a series of alternatives will be available at point of purchase or renewal where varying licensing programs (contracts), product and package lineup, license metrics and support levels may be chosen, which will in turn impact prices and use rights. The Contractor’s Account Manager must commit to support identification of the best fit option in accordance with the applicable use case for the College.; b. Changes made by VMware – It is anticipated that at any time VMware will potentially change dimensions referenced in the point above. The contractor shall proactively inform JCCC in writing via email identifying any upcoming changes from VMware and its impact on JCCC’s current licensed environment within thirty (30) calendar days of VMware’s announcement of licensing changes so that the College has a sufficient window of opportunity to defer or avoid any negative impacts prior to subscription renewal.; 1) In the event of rate structure change and/or license resource structure change mandated by VMware, the Account Manager will provide license structure shift support service resources, including, but not be limited to: ▪ Proactive communication to in written form identifying of mandated change from Licensor; ▪ Follow up discussion to validate communication received; ▪ Identify options that will form a risk mitigation plan to lower financial impact; ▪ Assist in the execution of negotiation and finalization of the risk mitigation plan; ▪ Provide clarity of all licensing use rights and options that meet JCCC’s requirements; ▪ Distribute or provide access to all license agreements, use right documentation and license keys on procurement and on demand; ▪ Act as an advisory representative, providing impartial advice as a trusted advisor to JCCC. The Contractor’s Account Manager must be proactive, identify, plan, prepare and assist JCCC to negotiate VMware subscription renewals. ; c. The goals expressed by JCCC include the selection of a vendor to support the current functions, services, and activities of the College. It is the desire of JCCC that the vendor selected demonstrate an understanding of the needs of higher educational institutions and in particular of community colleges and a willingness to work with the College to provide the best solution possible.
