Specifications include, but are not limited to: The Town of Swanzey is seeking document scanning services, such as scanning of paper files ranging in size from letter, legal and ledger, to oversized plans. Records to be scanned include the Towns over 3000 property files and various other town files. The overall objective is to scan all eligible documents and store them in a digital format where they can be easily searched, retrieved and made available through some type of search and/or indexing system. This work is to be done in phases. The Town is interested in a document management system that would allow multiple users to share and work on applications going forward. It is the Town’s intent to require all future documents to be submitted electronically, where possible. The Town intends to scan documents into the proposed solution as well moving forward. Proposers are encouraged to become familiar with NH RSA 91A which outlines how records need to be stored law and archiving standards.
