Specifications include, but are not limited to: Full-service maintenance on all copier equipment proposed must be included in your proposal pricing. At a minimum, response time must be a maximum of four (4) hours after the service call has taken place and a guaranteed repair or provide a substitute (loaner) unit free of charge. Annual maintenance will be conducted during June and July before the start of teacher in-service training and will include a complete inspection and repair of all copiers. Key components to be considered are service time, location and availability of service technicians provided to the district. It is the responsibility of the awarded vendor to make periodic checks and to ascertain the working condition of all copier equipment placed within the District. The awarded vendor will provide all parts and all labor necessary to maintain the copiers in good working order. All parts will be new. Only parts and components produced or authorized by the original equipment manufacturer will be used in the repair or replacement of defective equipment. The awarded vendor must provide manufacturer’s recommended retrofit and equipment upgrades on the maintenance agreement at no additional charge to the District. B. Unit Replacement: If a unit requires replacement during the term of the agreement, it shall be replaced with a unit of equal or superior quality and functionality. The District is entitled to a replacement of any unit with a unit of equal or better quality and specification if: - Within any three (3) consecutive month period, the unit is out of service of any contracted functionality for more than five (5) work days for the district location affected after the first twenty-four (24) hours following the service call for repair. - If a unit cannot be repaired within 48 hours, a loaner unit must be provided to the location until the existing unit can be repaired.
