Specifications include, but are not limited to: 5.4.1 EVENT COORDINATION Proposal must provide a detailed plan of how proposer will coordinate the overall BTRR event. In it’s proposal, proposer shall: 5.4.1.1 Describe the role and/or dedicated project lead and team or committee members. 5.4.1.2 Provide a list of deliverables and costs associated with each deliverable. Do not use phrases such as TBD, or unknown when detailing cost. 5.4.1.3 Provide a detailed plan for how proposer will raise additional funding that may be needed in excess of funding provided through this award. Proposing company shall bare all cost for the BTRR rally that exceeds the total amount HHSC provides UTHSA for the event. Proposer shall elaborate and describe a plan in its proposal response detailing how funding above and beyond the amount provided by HHSC will be raised. Contractor shall coordinate all fundraising activities, including sponsorship and Donor contributions to cover additional costs and expenses. Any UTHSA or HHSC branding or identity associated with promotions, communication, advertising, marketing, etc. must be approved by designated HHSC or UTHSA Marketing, Communications and Media department or HHSC authorized individual that approves such branding. ] 5.4.1.4 Proposer shall coordinate continuing education credits for event attendees 5.4.1.5 Proposer shall coordinate and manage customer service (questions and registration issues, etc.) 5.4.1.6 Proposer shall independently coordinate and manage all event registration. Registration statistics shall be provided to UTHSA designee detailing the number of registrations and number of attendees. Other statistics may be required as agreed to in writing between UTHSA and Contractor. 5.4.1.7 Proposer shall plan and deliver a detailed event schedule for the 2-day event with its proposal response. 5.4.1.8 Proposer shall coordinate and execute all agreements between self and all service providers such as, speaker agreements, presenter agreements, venue agreements, etc. and subject to review by UTHSA designated party. Agreements shall not be on behalf of UTHSA or UT System.
