Specifications include, but are not limited to: 3.1 General Requirements 3.1.1 Respondent shall furnish all labor, material, supervision, and equipment necessary to provide scan and digitize records for State of Iowa Agencies and Political Subdivisions. 3.1.2 Respondent shall provide all the services listed below to be deemed as a responsive Respondent. 3.2 Service Requirements 3.2.1 Respondent shall pickup records with three (3) business days after the request of the Agency. 3.2.2 Respondent shall provide transport, preparation, scanning, digitizing, and storage services. 3.2.3 Scanning and digitization services shall include the capability to scan single-sided and double-sided records. 3.2.4 Respondent shall return or shred original copies at the sole request of the Agency. 3.2.5 Upon completion of scanning of each collection of records, the Respondent shall provide a cross reference inventory confirming each original record has been scanned and included in the electronic files. This inventory shall also confirm each original record has returned or shredded. 3.2.6 Respondent shall be responsible for the records in their custody. 3.3 Security Requirements 3.3.1 When Respondent is providing a service to scan and digitize records, service shall be in a secure location that is accessible only by authorized personnel. The location shall be monitored 24/7 via video security system. 3.3.2 When documents are not being serviced, documents must be kept in a locked and restricted area. Only authorized personal shall have access to retrieve documents.
