Specifications include, but are not limited to: Scope of Work to include at a minimum the following tent, equipment, and amenities available for gameday rental. Proposal should clearly identify any variances to these minimum requirements as well as pricing for all tent sizes/structures and any amenities, add-ons, and special promotions. Tent Requirements White Vinyl (10x10 minimum size) with wind rating for 70 MPH Tents must be ballasted (anchored). Water barrels or concrete ballasts are preferred. Staking is not allowed on any UA grounds. Marquee style frame Minimum Tent sizes required for season and single-game packages 20 x 20 game rental Two 8′ banquet tables, Two 60″ round tables 20 plastic folding chairs 10 x 20 game rental Two 6′ banquet tables 12 plastic folding chairs 10 x 10 game rental One 6′ banquet table 6 plastic folding chairs 10 x 10 plot rental Plot only Required Additional Amenities offered for season and single-game packages (provide specifications and pricing of each item) Tent Walls Tables – Round or banquet (rectangular) Chairs – Wood or Plastic Linens – Cotton or Spandex Coolers – Various Sizes Flatware – Metal or Plastic Staging Flooring Fans/AC Heaters Lighting Televisions – 40” to 60” Satellite television service and cabling Audio capabilities (sound system including microphones & speakers) Generators (Inverted) Extension cords Digital communication platform Set up/Tear Down Weekly set up may begin no more than 3 business days prior to the event. Set up must be completed by 6:00 AM the day of a home game. Breakdown of all tailgate set-ups completed by 5 PM the day following any home game. Reasonable extensions must be agreed upon by both parties. Respondent must coordinate set up and breakdown with Athletic Department and Campus Facilities based on facility availability Tents secured above ground with cement pilings, water barrels or other approved above ground anchoring. Selected Respondent Obligations: Area Lighting for added security Port-a-Potties – minimum of 6 placed in Victory Village North, 4 placed in Victory Village East, 4 placed in Victory Village South Security – Overnight as needed Describe gameday staffing plan Staffing for gameday service needs On-site concierge service for fan assistance beginning at 6:30 AM on game day regardless of game time. On site assistance pre and in game for rental service issues or add-ons The successful Respondent must contract to make tailgating guest purchases and other related guest data available to University at any time. In addition, any guest data collected by the successful Respondent is considered the property of the University.
