Specifications include, but are not limited to: 1. Vehicle Maintenance The technology will: • Track and record vehicle maintenance related activities such as road calls, repairs, work orders, vendor repairs, vendor services, fluid usage from fuel and fluid management system, • Computer and on-line search and report options to find parts and items tracked by the system (i.e.: mechanics, buses, fluids, and others), • Provide vehicle electronic maintenance work orders, • Provide vehicle on-board electronic maintenance/safety inspection checklists, • Track, monitor, and maintain vehicle maintenance information and history and provide staff the capability to assess, review, download and print said information, • Track warranty claims and assist with balancing labor time standards, • Enable maintenance personnel to track, update, review/monitor and create reports of maintenance history, preventative maintenance, inspections, work orders and other maintenance related work, • Search work orders by part, employee, job task and date, • Search parts and labor by, date, vehicles, and mechanics, Set up preventative maintenance schedule by mileage, time, or dates, • Ability to track multiple employees on the same job to gain full cost of work one work order (Example: A bus windshield may take up to 5 people to install. All 5 employees would be able to be associated with the single Work Order with each person’s time tracked separately), • Job proficiency tracking/ standard times, and labor reporting by Work Order, job type, vehicle type, and by mechanic. 2. Yard Management Software The technology will: • Using automate vehicle location technology, the technology will monitor the movement, placement, and locations of buses at the maintenance facility and externally, • Enable the assignment of vehicles to operators by maintenance or dispatch personnel, • Display location of vehicles and create printable yard maps showing the location of buses on the yard, • Enable personnel to locate vehicles through computerized tablets or desktops. 3. Inventory Control and Fleet Management The technology will: • If the optional purchasing section is not selected, then the system must be able to integrate with the purchasing module of the Finance software to update ordered quantities and communicate when quantities have been received, • Total inventory values by designated inventory type need to be available via a monthly report. Ideally, the value would have the ability to directly update the value in the Metro accounting system, • Create and track work orders with assigned staff, special parts orders required, and inventory availability and reconciliation for parts assigned to order, • Track useful tire and vehicle life cycles, • Must have barcode system to allow for scanning parts inventory and keeping track of inventory items associated with specific work orders and for inventory reconciliation with hand-held scanners, • Must have parts tracking for work order special orders from order to delivery per work order, • Parts inventory system must have ability to show part number evolution as new part numbers supersede older part numbers without losing original associated part numbers, • Must have auto-reorder capabilities available with automatic updates to purchasing software to ensure parts quantities are always available, • Must provide reporting on all auto and special orders required for work orders or for inventory control, • Ability to write and record work orders, • Search inventory by part number and part description, • Daily receiving list and issuing list - Report • Automated Odometer entry - Added Device Per Vehicle to capture data, including mileage and vehicle maintenance messaging, or have capabilities of capturing this data from Fluid Management software, • Capable of capturing fuel consumption by vehicle from Fluid management software, • Must integrate with Finance Software including Metro’s general ledger software, • Ability to track assets (non-capitalized) and parts inventory by date, location, asset tag, description, etc., • Ability to dispose the asset or move the part from inventory, • Ability to run a report for the bi-annual auditors, • Ability to charge assets to work orders and include reporting for associated costs on work order, • Ability to auto order parts based on current inventory levels and needs, • Ability to track maintenance for all vehicle types including preventative maintenance schedules, • Ability to use hand-held barcode scanners to record new inventory and reconcile existing inventory, • Ability to provide instruction to vehicle operators on parking locations based on pull-out needs for next use of vehicle, • Ability to digitally identify vehicle locations in vehicle garage for operators and mechanics.
