Specifications include, but are not limited to: 4.1.1 The software must be accessible online on multiple devices/operating systems (PC, Mac, tablet, or other hand-held device, etc.); 4.1.2 The software must meet the Recruiting and Applicant Tracking functionality requirements set forth below by the WV Department of Education: Revised 12/12/2017; 4.1.2.1 Post openings on social media sites and job boards (K12 Job Boards, ie: k12jobspot, Linkedln, Indeed, Facebook, Twitter, Instagram, etc.) while electronically capturing interest in current and future openings online and at job fairs.; 4.1.2.2 Create automated recruiting campaigns to reach new candidates and proactively reach out to candidates for invitation to apply to job openings.; 4.1.2.3 Provide user applicant functionality to be able to upload documents, references, attach resume, ability to apply to multiple positions/job types and at different locations, send reminders for references, and save application to revisit and complete at a later time.; 4.1.2.4 Provide user applicant functionality for candidates to rank preferences for current and future job openings, search open jobs using multiple criteria, create unique and secure account, check the status of positions applied to, view and make revisions to previously submitted criteria, and the ability to withdraw from a job opening.; 4.1.2.5 Provide customer support during normal business hours (8:00am5:00pm) on Eastern Standard Time.; 4.1.3 The software must meet the Onboarding and Digital Employee Records management functionality requirements set forth below: 4.1.3.1 New hire can be added directly into the Onboarding system automatically from the Applicant system without requiring duplicate entry of data.; 4.1.3.2 Include an unlimited number of Onboarding packets with the ability to add an unlimited amount of onboarding forms and include school WV Department of Education specific forms and logos into the packet and links to external systems/videos.; 4.1.3.3 Forms can be routed to assigned users across the organization that need to interact with the form, allowing for approval or denial of a form in the determined work-flow steps for a particular form.; 4.1.3.4 Automatically pre-populate certain New Hire data fields on each form so the new employee is not required to duplicate date entry on each form.; 4.1.3.5 Federal forms (I-9, W-4, etc.) are updated automatically. No manual updates required.; 4.1.3 The software solution must include administrative reporting features to export data to PDF and Excel formats; and 4.1.4 Vendor must provide training and technical assistance and must include the cost for training and technical assistance in the written quote provided in this request.; 4.1.5. Vendor shall guarantee that WVDE will own all data; 4.1.6. Vendor must provide support and assistance with service requests Monday through Friday, 8:00am -5:00pm EST.
