Specifications include, but are not limited to: 21.1. For the purposes of this quote, please use up to two thousand (2000) ballot marking devices, up to three-hundred (300) ballot scanning devices, up to two hundred (200) Delivery Locations, up to twenty (20) Satellite Voting Sites and all Election Supplies for early and election day voting. The final number of locations is subject to the Marion County Election Board.; 21.2. Required Vehicle: Contractor should provide at least four (4) twenty (20) foot box trucks that will be required to deliver approximately 10-15 skids per regional site; each skid is 30”x36” and up to 60 - 72 inches tall and weigh up to 700 lbs. Approximate weight of voting equipment: DS200 poll place ballot scanner and vote tabulator: 65-70lbs each. ExpressVote Universal Voting System: 22 per skid; 465 lbs. per skid.; 21.3. For the purposes of this Agreement, the term “Election Day” is used interchangeably to refer to both the May 2022 Primary Election and the November 2022 General Election. To avoid any doubt, this means that the services provided for the May 2022 Primary Election shall also be provided in a similar manner for the November 2022 General Election. 21.4. The term of this Agreement shall begin upon execution and shall terminate on December 31, 2022 unless terminated earlier in accordance with this Agreement. 21.5. The Contractor must provide designation of a primary contact and secondary contact with cell phone and e-mail addresses where the contact may be reached by the County twenty-four (24) hours a day seven (7) days a week for the days leading up to and following Election Day.; 21.6. The County may terminate the resulting contract for cause or convenience at any time during the term of the contract, without penalty, upon ten (10) calendar day’s written notice to the vendor. The County shall be the sole judge of the adequacy of the vendor’s performance pursuant to the resulting contract. On-time delivery of all materials in accordance with the predetermined timeline is considered crucial. Failure to deliver on-time may be cause for a Five Hundred Dollar ($500.00) deduction in payment to vendor for each failure or may be cause for termination.; 21.7. The Contractor and County shall determine a plan and schedule for equipment delivery and pick-up. This plan may include, but shall not be limited to, storage of Contractor’s property when not in use, movement of Contractor’s property—particularly vendor’s vehicles, and/or a detailed inventory process as County property is returned.; 21.8. Contractor shall attend training by MCEB staff on the operations of the PollChief database that contains all relevant information for machine delivery, including but not limited to, vote center location information, delivery route preparation, and asset management of voting machines and supplies needed for election day. Training for the machine delivery shall take place no later than eighteen (18) days prior to Election Day. Contractor shall also attend training by MCEB staff on Election Day incident reporting and tracking in PollChief no later than four (4) days prior to Election Day.
