Specifications include, but are not limited to: • Be on-demand for employees, managers, and Leave of Absence Specialist to initiate including review eligibility status, submit a request and supporting documentation, return to work, and status reporting. Aligning the software solution with the District’s internal processes will be essential.; • Provide secure connection to ensure safe data transmission of confidential data that aligns with District IT standards, protocols, and encryption requirements when sharing information via software, files, and/or web portals.; • Offer intake questionnaire template (with the ability to use our own) to determine the leave type and eligibility status online. ; • Provide ability to interface with the District’s other current applications such as HRIS (Lawson and Infor Global Human Resources), Time and Attendance (KRONOS), Payroll (Lawson), and Worker’s Compensation (Sedgwick), and any other vendors, if deemed needed when determining streamlined processes.; • Provide multi-user access with different levels of security for employer to initiate and administer leave process (under employer license).; • Provide ability to electronically collect inquiries, requests, documentation for claims filing 24/7 on demand via a web portal. ; • Be able to track certifications and provider documentation.; • Provide visible workflow to track beginning to end processes which the LOA Specialist can help troubleshoot and respond to inquiries.; • Provide custom letters and/or email communications to employees to notify employee and leadership of status and status updates.; • Provide standardized and customizable leave management reports on all leave activity (hours used, hours remaining, employees on leave, historical leave activity, etc.) with business unit / division drilldown visibility and rolled up visibility for the entire hospital.; • Provide ability to process all leave type requests that employees may submit to the District including determining eligibility status. Types of Leaves: Military, Personal, Educational, FMLA Continuous, and FMLA Intermittent. ; • Provide call center customer service to handle on-demand communication with LOA Specialist for needed action and follow-up during normal business hours.
