Specifications include, but are not limited to: Develop a detailed project implementation plan, including specific tasks, roles and responsibilities of the team, and a timeline for project completion. This plan should include a schedule which includes the level of support needed from City staff and volunteers. Administer PAF by attending regular PAF Board meetings (schedule TBD), and maintaining regular communication with City throughout the proposed project period. Responsible for ensuring all members of their team are aware of new updates shared at planning meetings. Act as fiscal agent for PAF, responsible for managing contracting, bookkeeping, receiving, distributing and reconciling funds as outlined in the approved budget (TBD), and providing detailed financial reports throughout the proposed project period. Please refer to “Appendix D” for the requirements on bookkeeping, reports, and records to be submitted for payment / reimbursement. Obtain Certificate of Insurance - Proof of liability insurance in the amount of Five Million Dollars naming the City of Pawtucket and its employees and/or agents policy for PAF and any special performances that require additional insurance Provide the City of Pawtucket with final budget, documentation, and evaluative report within 30 days of the last PAF event. Coordinate production needs in advance of final booking including but not limited to providing tech riders. Provide accurate lineup for the event with time breakdowns for each program Create a final PAF line-up by final deadlines put in place by marketing team Co-develop alternate plans in case of inclement weather Mange PAF operational details such as: trash removal and parking; Coordinate artist fees, hospitality, travel, catering, legal, and tech needs in writing.
