Specifications include, but are not limited to: Task 1: Project Management Workplan The selected vendor shall develop a project workplan which shall include deliverables and timeline. The draft project workplan shall be presented and reviewed with the Project Management Team (PMT) (see Task 2). Upon review and approval by the PMT, the vendor will finalize the project workplan and timeline. The vendor will also produce project status reports every two weeks that identify each deliverable, its status, outstanding issues and any obstacles that exist that may hinder the completion of the deliverable. The vendor shall hold a conference call or in person meeting with PMT members every other week to review project status reports and address any identified challenges to completing deliverables. Deliverables: Draft project workplan and timeline Final project workplan and timeline Project Progress Reports (every two weeks) Project Status Conference Calls/Meetings (every two weeks) Task 2: Project Management Team Kickoff Meeting The selected vendor shall meet with the Project Management Team to review the project workplan which shall include deliverables and timeline, set agenda for stakeholder kickoff meeting, identify participants for stakeholder kickoff meeting, preliminarily identify participants for the interview sessions, and – as needed - address other pertinent business items. Key staff (including assigned jurisdictional/functional area leads) from the vendor project team shall participate in this meeting. The vendor shall prepare all materials for this meeting, and take meeting notes. The vendor shall finalize the project workplan based upon meeting discussions. The meeting shall take place within two weeks of contract execution.
