Specifications include, but are not limited to: The University of Rhode Island seeks a cloud service partner to host and maintain an online secure Digital Forms Routing and Approval system. The system must be able to have segmented areas for each set of department forms securely created, maintained, routed and stored. All features of the system must be fully accessible on the internet from a variety of end-point computing devices to include desktop, laptop, tablet and phone devices. The system must support an end-user fully internet accessible and enabled interface for submitting and receiving forms for approval. The University seeks to have multiple internal departments using a single system for such processing with options to integrate with its legacy systems. In addition, the vendor must also provide: ƔA system that is compatible with the United States Electronic Signatures in Global and National Commerce Act (E-Sign Act) ƔAll departments within URI to be able to develop, maintain and manage routing of approvals securely within their own workspace. ƔTraining for all users of the system. ƔOngoing technical support services for all system features to URI, performance monitoring, data security systems and procedures, patches, fixes and upgrades. ƔMaintenance planning defined as planning with the University to determine a mutually agreed upon time for any maintenance to the vendors system provided to URI. ƔThe preferred authentication for URI users is Single Sign-on using the SAML standard. ƔNon-URI users who must approve forms must be able to access them securely and as easily and seamlessly as possible with on screen acknowledgements for end users that forms have been submitted successfully as well as the ability to customize notifications. ƔThe system must give URI administrators the ability to see the status of each form in the workflow, on screen acknowledgements for end users that forms have been submitted successfully, and the ability to customize notifications. ƔThe system must have the ability to add attachments with the digital form. ƔThe University’s legacy systems (student, employee and financial systems) are PeopleSoft/Oracle, the ability to integrate “out of the box” with these systems is preferred.
