Specifications include, but are not limited to: The selected contractor may generally be utilized to repair or replace systems or devices in nonemergency or nor-urgent situations also; however, the City reserves the right to procure any service, repair, or replacement through a separate procurement for each instance as the needs arise. This RFP applies to all City locations and facilities except the Advertising and Promotion facilities. Requirements of the agreement include, but are not limited to the following: 1. Emergencies 2. Urgent circumstances 3. Any HVAC or related issue not directly related to the regularly scheduled maintenance. 4. Equipment replacements 5. Component Replacements Authorization to perform the work: The contractor is required to obtain a work order (WO), a purchase order (PO), or an authorization to proceed (ATP) from the City for all work to be performed. The contractor should never proceed to perform any service without a purchase order, except under the following conditions: 1. Emergencies 2. After hours service necessity 3. Holiday(s) service necessity However, notwithstanding the authorization requirements stipulated above, the contractor shall be expected to proceed with service and/or repair in the event of emergencies or urgent circumstances and will be expected to obtain the required purchase order the next business day or as soon as feasible. The City asserts that in the case of such urgent circumstances the required authorization(s) will be required before services are rendered. All services shall be performed by certified personnel with reference to the particular type of equipment being serviced. The proposer's guaranteed response time must be shown. All work, to the maximum extent possible, must be performed during regular working hours to avoid overtime rates. All contractor personnel must be identifiable to the City upon request.
