Backstage Catering Services for the 2025 Essence of Entertainment Summer Concert Series held at the Dell Music Center from July 1, 2025 to October 1, 2025. Meals should include a choice of (2) entree items, (1) vegan entree, (1) starch, (1) vegetable, bread item, salad, desserts, and beverages also provide plates, eating/serving utensils, cups, napkins, condiments, racks, and heating fuel. Provide pricing on a per person cost (qty). We are estimating 80 to 120 people per show/event. The numbers may increase or decrease per show. Drop off and set-up of food prior to show times. The drop off time is no later than 4pm on the day of the event. Food must be delivered hot and ready to be served. Include the delivery cost in the unit price. There will be 8 to 12 events. The confirmed event days meals must be provided on the following dates: 7/10, 7/17, 7/24, 7/31, 8/7, 8/14, 8/21 and 8/28. A final calendar of events will be provided once the contract has been awarded. The bidder must provide an sample menu with their quote. Please see attached specs for specific details for bid requirements and our sample menu. Please read specs thoroughly. NOTE: All vendors applying for this bid solicitation must be in good standing with the City of Philadelphia as well as the Department of Parks & Recreation, Dell Music Center. The contract period is July 1, 2025 through June 30, 2026 with one (1) initial term and four (4) renewal options. For Renewal Periods price increases are to be based on the percentage change to the Consumer Price Index(CPI) for All Urban Consumers in the Philadelphia area and cannot exceed 4%. The increase is to be based on the CPI or the 4% cap, whichever is less. Sellers must submit a written request for price increases to the department a minimum of thirty (30) days prior to the start of the renewal period. The price increase request must note the current price, the CPI percentage change, and the increased price. This bid will result in a Requirement SOP Renewal Contract.
