Specifications include, but are not limited to: 4.1Product Specifications:All mats supplied by the contractor shall be: a.Commercial grade materials with a non-skid surface and backing; b.In a standard black color with no custom imprinting;c.Clearly branded on the back or edge by the services provider, to avoid confusion with any County-owned floor mats. 4.2Service Specifications:a.Service shall include supplying, inspecting, cleaning, and repairing or exchanging mats needed to maintain cleanliness and safety. b.Both parties must mutually agree upon a weekly schedule. Currently, mats are serviced on Tuesdays or Wednesdays, every other week. c.A list of holidays and other scheduled Clackamas County closures shall be provided by the County prior to June 30th each fiscal year. d.For any location where mats cannot be serviced on schedule, the Contractor shall inform the County by email within 24 business hours to reschedule. e.The County may change the number, size, type or location of mats to its regular schedule as business needs dictate. County shall provide any changes to delivery in writing via email within one week prior to first delivery. Any such changes shall be billed at the rates quoted in the fee schedule. f.The County may request additional mat cleanings or exchanges as needed.g.Custom mats are currently only used on special occasion and are not part of the current requested inventory in Attachment 1. However, Custom County mats will need occasional cleaning with advanced notice to the resulting Contractor for this service. 4.3Additional Requirements:a.Prices quoted in fee schedule must include replacement costs for any damaged mats during the term of the Contract. b.Invoices shall be itemized by facility street address, building designation where multiple buildings are at one address, and placement within the building. County shall be billed at the end of each month with all charges of that month. c.In accordance with the County’s sustainability guidelines, vendors are encouraged to use environmentally responsible processes and products. Provide details of all cleaning products used for the mats, including safety data sheets (“SDS’s”), and any third-party environmental certifications of such products or your business processes. d.Provide details of any efforts to reduce the impact of your mat sourcing and disposal, such as purchasing mats with post-consumer content or recycling damaged mats.
