Specifications include, but are not limited to: 1) Provide a coordinator for the event who shall; a) Meet with OOD Program Staff prior to the event to discuss needs of the conference attendees. b) Secure adequate number of sign language interpreters and maintain a schedule to meet coverage needs. i. Exact number of individuals will be known once registration is complete which is expected to be no later than 30 days prior to the event. ii. Coverage and hours worked must meet industry accepted standards; although breaks will be provided, rotating interpreters may be necessary. 1. OOD expects there to be at a minimum of 2 to 6 interpreters available to adequately meet the needs of the attendees during the daily scheduled activities, including an orientation on Saturday, June 13, 2019, from 4:00 to 9:00 pm. Please note that a minimum of 6 interpreters will be needed for the speed mentoring session as outlined in the attached schedule. iii. A tentative schedule of events and estimated breakdown of sign language users has been included in the RFP packet. The exact plan for need will be finalized at the above mentioned pre-event meeting. c) Have a contingency plan in place for situations where an interpreter is not able to fulfill their shift. d) Be responsible for accounting for interpreter(s) time and reporting by utilizing a form approved by OOD. This form will be completed daily by each interpreter and signed by an OOD representative prior to leaving for that day. Forms will be given to the coordinator who will attach a copy to the final invoice.
