Court reporting, stenography, and transcription services are necessary for each of the following: 1. Board of Trustees Meetings. The District’s Board, comprised of 7 members, meets twice a month in regular public meetings to discuss and determine policy and to act upon resolutions presented by District staff. There are also opportunities for public citizens to comment on specific agenda items as well as non-agenda items, including presentations from the District’s various departments. The Board meets on the first and third Thursday of each month at 12:30 p.m. The meetings last approximately 1-2 hours and in-person stenography services are required for these meetings. An e-mail copy of the transcript is required by 9 AM the following Monday. A hard copy of the transcript is required no later than one week following each Board meeting. 2. Committee Meetings. The District’s Board has various committees that meet on a scheduled (on a quarterly cadence) or as-needed basis. An e-mail copy of the transcript is required by noon one week following each meeting. A hard copy is required no later than close of business one week following each meeting. 3. Suburban Council of Governments Meetings. The Suburban Council of Governments (SCOG) was established pursuant to court order and is comprised of representatives of all suburban communities served by the District. The primary purpose of the SCOG is to appoint representatives to the District’s Board allocable to Subdistrict 2 and to advise the representatives as necessary. The time and location of the meetings are at the discretion of its President or at the request of a majority of the SCOG Council. An e-mail copy of the transcript is required by noon one week following each meeting. A hard copy is required no later than close of business one week following each meeting. 4. Depositions Conducted By In-House Legal Staff. The District’s Legal Department currently has a Chief Legal Officer/General Counsel and five (5) Assistant General Counsels. Court reporting, stenography, and transcription services for depositions conducted by the attorneys are rare but may be necessary on an as-needed basis. The ability to provide a transcript by the deadline is critical and respondents with the ability to provide a transcript for the Board of Trustees meeting sooner than the 9 AM deadline should indicate such in the proposal, as well as the cost of expedited service.
