Specifications include, but are not limited to: a. Firms will submit an alternative approach to the traditional pageallotments fee structure to include other opportunities and/or strategies which may be considered in whole or in part, but must address all the criteria below: i. A list of the current model and location with the proposed model shall be included in 5-column form: a. Location, Existing Model, Proposed Model, Number of drawers, Mono or Color Note: The existing fleet in Section V are vendor-owned and are not to be assumed available for use. Proposer will need to supply new MFP’s. ii. MFP’s shall have the ability to print, copy, scan, and fax, and shall have a network adapter. iii. All existing functionality and performance standards of the fleet models in Section V should be considered acceptable from the current models and a “base-line” of expected performance (i.e. at least as good). iv. Firms should take into consideration the priority list below of enhancements that have been identified during a recent survey: 1. Faster per-page print speed 2. Faster wake-up\first-page-out 3. Additional paper drawers v. Miami County desires a simple pricing proposal of an actual per-impression fee structure instead of a page allotment structure. For example, $0.01 per impression monochrome, $0.02 per impression color. vi. Miami County is adverse to purchasing the MFP’s or leasing them in any fashion unless unavoidable. vii. Include approach to on-site toner supplies. All toner requests will be handled by the IT Department, preferably using limited on-hand stock to fill requests and replacing with on-demand stock. viii. Include service-related details such as method of support request, on-site response times, approach to maintenance and repair of supplied MFP’s, and the plan of action should a unit become unacceptable due to performance or reliability issues. b. A complete draft version of the intended contract and any other documents that would need to be signed as part of the proposal shall be included.
