Specifications include, but are not limited to: A. Inspecting any portion of the property when requested and making recommendations to the City regarding needed repairs and maintenance which the Offeror shall proceed with only after receiving City’s written authorization. B. Meeting periodically with the City to discuss recommendations regarding analysis made and any actions required by the City to effect such recommendations. C. Leasing space, advertise, contract, collect all rents, fees, deposits, utility cost, taxes, etc. from tenants. Eviction proceeding as necessary. Review leased property yearly to make recommendations to improve the property. D. On site person to Oversee and Manage the following services: 1) Day Cleaning, Preventative Maintenance and repairs for building systems, tenant service calls, set-up meeting rooms and special events, life safety systems, clean garage, steps and sidewalks, make minor furniture moves. 2) Security Guard services during specified day, evening, and weekend hours. 3) Window cleaning twice annually inside and out. 4) Maintain door locking system, parking access equipment and proximity card access data entry, and possibly building entrance, door locks. 5) Fire Alarm system monitoring, testing and maintenance. 6) Electrical system testing, maintenance and repairs. 7) Domestic water system, backflow prevention, testing and repairs. 8) Fire Extinguishers maintenance and recharging. 9) All HVAC system, monitoring, testing, maintenance and repairs. 10) Cutter Street parking lot grass cutting, snow and ice removal and misc. maintenance. 11) Work with the City to meet Green Initiatives. 12) After hour emergency response. 13) Update the Emergency and Safety Procedures Manual, participate in regular safety meetings, and organize and operate as a liaison for evacuation drills as required. E. Making all required disbursements: 1) For the repair, maintenance, barricading, securing of and improvements to the property relative to scope of services. 2) For wages and fees to all persons and firms (other than the Offeror itself) whose services are required in the operation and maintenance of the property. 3) For management fees it earns (as set forth below). 4) CAM fees. 5) Reimbursement for Commercial General Liability Insurance coverage secured by Offeror as required below. 6) Any other related expenses agreed by City and Offeror for day-to-day operations of the building. 7) The City shall directly pay all utilities, water, sewer, any taxes or other annual expenses associated with the property. F. Provide all of the following: 1) Cleaning staff, each of whom can demonstrate a minimum of two years of experience providing cleaning services in a comparable “Class A” building. 2) A Listing of the size and complement of the company, the number of staff employed, and each person’s job title. 3) A Plan to provide for the replacement of required staff for Centennial II in the event of employee absence or additional staff if needed by the City, and proximity of backup staff to Centennial II. 4) The company’s policy of accounting checks and balances used in business practices. 5) References showing size of buildings the company has managed, the client and services provided to the client.
