The Greater Cleveland Regional Transit Authority (GCRTA) seeks proposals from qualified firms to provide a fleet of digital multifunction devices (MFDs) with the following core functions: Copier, Printer (LAN and mobile), Scanner, Stapler, and Hole-Punch. GCRTA currently owns 48 Monochrome MFDs and 4 Color MFDs, distributed throughout its facilities. Many machines exhibit reduced speeds and recurring paper jams impacting productivity and the overall user experience. GCRTA intends to replace these devices through a trade-in transaction. Attached is the current MFD inventory list with locations. GCRTA intends to purchase 54 MFDs to replace 52 existing units (48 Black & White and 4 Color) and add 2 additional Color devices. These devices will support operations at the main office and satellite locations. Current monthly document production is less than 300,000 Black & White pages and less than 35,000 Color pages. Departments across the Authority generate a variety of documents, including correspondences, reports, agendas, memorandums, RFPs, schedules, inserts, forms, brochures, newsletters, flyers, and resolutions, which vary in volume, frequency, size, technical specifications, and delivery schedules. Much of this production occurs on network digital machines with outdated technology and limited print capabilities. Vendors shall review these documents and submit a detailed proposal outlining their proposed trade-in plan and replacement strategy. GCRTA is also seeking an enterprise printing software solution to support document and content management, printing sustainability, usage analytics, and secure systems management. The software will be delivered as a complete solution, separate from the multifunctional devices, and is expected to provide all necessary functionality to meet the Authority’s enterprise printing and content management needs.
