1.1 Monitor Building Conditions 1) An unarmed Fire Watch Contractor will be responsible for monitoring the building to watch for smoke, fire and to monitor for any life safety issues. This is to be done in accordance with the fire department guidelines. 2) In the event of an emergency such as fire and evacuation, 911 must be contacted and then a representative must be contact the Property Manager on Call by calling 513-381-2642. The Guards are to assist the fire department with any emergency evacuation. 3) Monitor activities in lobby areas and those areas directly adjacent to the lobby area to ensure the general safety and welfare of the residents and authorized visitors. 4) Maintain activity logs detailing beginning and end times when the guard checks their designated floors. Each guard must be equipped with a communication device to call 911 in the event of an emergency. 5) Contractor must provide a telephone number which monitored 24 hours/7days in the event of an emergency and TPS must reach a representative onsite 6) Contractor must maintain at all times the required number of guards as designated by the fire department and/or TPS 7) Remain at post until relieved. The Contractor is responsible for staff arriving to work on time and shall ensure that the agreed upon number staff to remain on post until relieved, including relief for breaks/lunch. 1.2 Personnel Conduct 1.2.1 All personnel assigned by the Contractor to work on TPS property as a result of the ensuing award must be: • able to relate with and work harmoniously with TPS staff, TPS residents and the general public; • in good physical condition and capable of performing all assigned duties; • able to use all tools necessary to complete assigned duties; • able to read, write legibly, follow instructions, and to complete the required reports in a clear and legible manner; • in full uniform whenever on duty, and have an appearance and condition that is neat and professional; • willing to and knowledgeable of how to assist TPS staff, TPS residents and other safety personnel (i.e. Police; Fire Department; etc.) during any emergency situations that may occur such as fire, flood, power outages, etc.; • replaced if deemed unacceptable by TPS with an acceptable substitute to TPS; • willing to follow all posted driving and speed regulations. • There will be no smoke breaks allowed in or near the entry way of buildings. • Breaks must be managed so that the post is not vacant (without a staff). • Belligerent, antagonistic or threatening behavior by Contractor or his/her employees will not be tolerated. If an employee is exhibiting such behavior, that employee shall be replaced immediately. If the Contractor is exhibiting such behavior, he/she may be given a warning or may be terminated depending on the circumstances and the behavior at CMHA’s discretion. • At no time shall a contractor allow anyone (prospective tenant, neighbor, etc.) other than an employee of CMHA into a building or area. • Contractors must remind and monitor their employees of these requirements. Failure to comply may result in the termination of the assignment. • Contractor’s personnel shall be neat with clean uniforms that have been laundered, are wrinkle-fee, stain-free and are in good repair. Each person will be properly groomed, which would also include the smell or aroma of each person. All work must be conducted in a professional and efficient manner. • Prohibited Clothing: The following list of clothing shall not be worn during the performance of official duties at any time: • Dirty, damaged, frayed, ripped, torn, or excessively worn clothing • Clothing bearing logos. insignias, trades mark language, artwork or other message which may be offensive or controversial. • No hoodies, t-shirts or sweat suits will permitted. Must be an industry recognized uniform shirt such as button down utility work shirts, dickies, Belligerent, antagonistic or threatening behavior by Contractor or his/her employees will not be tolerated. If an employee is exhibiting such behavior, that employee shall be replaced immediately. If the Contractor is exhibiting such behavior, he/she may be given a warning or may be terminated depending on the circumstances and the behavior at CMHA’s discretion. • Contractors are expressly prohibited from employing individuals who are listed on the CMHA’s trespass list or who have been previously terminated by CMHA. It is imperative that contractors conduct thorough background checks to ensure compliance with this policy. Furthermore, contractors are responsible for the behavior of their staff while on the property. This responsibility includes monitoring their actions and ensuring adherence to all established policies and safety regulations. Maintaining a professional and secure environment is of utmost importance.
