General Court Reporting Requirements • Contractor shall have an adequate number of experienced personnel on staff such that there is never a cancellation. • Contractor shall provide Registered Professional Reporters (RPR), shorthand reporters. Contractor must be able to provide stenographic and shorthand reporting as required. (Depending on the proposed personnel’s level of experience, the certification requirement may be waived.) • Contractor shall provide all equipment, material, and supplies necessary to perform the required services. • Contractor must be able to provide a Court Reporter within a minimum of eight (8) hours’ notice. • Court Reporters shall be available Monday through Friday, 8:00 AM - 5:00 PM or until the conclusion of hearing proceedings, which could extend beyond 5:00 PM. Court Reporter Minimum qualification • Associates Degree in a Court Reporter related program. Transcripts, Delivery and Storage • Contractor shall deliver original transcripts and other prescribed materials to the Civil Service office within twelve (12) calendar days, or less, from the date of the hearing. When priority delivery is requested, transcripts, or other prescribed materials, shall be delivered within three (3) calendar days of proceedings. • Contractor shall provide original, full-size transcripts (original hardcopy provided in condensed format, four to a page, with word index. • Contractor shall provide original, full-size transcripts and other prescribed materials via email, flash drives, or other forms of electronic media, as requested by the City. Electronic versions shall be provided in PDF format, provided in condensed format, four to a page, with word index. • Contractor shall provide all equipment, material and supplies necessary to perform the required services. • Copies of transcripts and/or audio recordings shall not be reproduced without a valid court order or written authorization from the City. • Contractor shall maintain confidentiality and security of all shorthand notes, records, tapes, transcripts, and related correspondences prior to, and post, delivery to the City. • All transcripts and copies thereof ordered by the City under this agreement shall be deemed property of the City. The City reserves the right to make the sole determination as to the release of any and all transcripts and copies. • A confidentiality agreement must be signed by the selected contractor prior to commencement of this agreement.
