Contract Startup - The contractor shall include in the bid prices ALL costs associated with contract startup including, but not limited to, parts, labor, equipment and service calls to every location to inspect equipment, wiring, and any and all ancillary equipment (costs include travel and truck time), and any and all costs for programming and/or re-programming of equipment at every location. The contractor shall be responsible for all programming needed for any location and must complete the transitions of sites by no later than sixty (60) days from contract execution. Opening/Closing Reports - The contractor shall provide costs of opening/closing reports for only those locations where opening/closing reports are specified on the Bid Form. Opening/closing reports shall be provided monthly and shall show all appropriate activity for the location. Reporting – Upon contract startup the contractor shall provide reports showing an inventory of major equipment components at every location and the programmed addresses/zones for each system. These reports shall be provided every twelve (12) months and sent to the City of Cincinnati, Division of Purchasing, 805 Central Avenue, Suite 234, Cincinnati, OH 45202. Payment – Monthly charges will be paid yearly; the contractor may bill for this services at the beginning of the year of services, rather than providing the service for twelve (12) months and being paid after the work. The contractor shall invoice each City department. The costs for monitoring and maintenance, and open and close reports shall be shown separately on the invoice. Monitoring Services – The Contractor shall monitor all alarm systems listed as receiving monitoring services. The Contractor shall maintain a list of contacts for each location and report any alarm conditions immediately. Annual Maintenance - Unless otherwise specified maintenance shall include all parts and labor needed to keep each system operational. The Contractor shall render service as described below: One (1) scheduled preventative maintenance call per year shall cover a mechanical and electrical inspection, and cleaning, adjusting, and lubrication of the control equipment. All required service calls upon request. Parts and labor are to be furnished at no additional charge. One (1) scheduled maintenance visit per year shall cover test and preventative maintenance. The cost of maintenance shall include annual testing.
