Specifications include, but are not limited to: Fleet services files warranty claims with new equipment manufacturers for basic warranty, extended warranty, recalls, and technical services bulletins and credits our agencies/customers. The method that fleet uses to file claims is different with each manufacturer contractors must be familiar with each manufacturers special forms and software requirements. Each week Fleet Services will upload work orders, which include comment, parts, labor and any outside vendor costs into an Access database and sends it to the contractor, using Microsoft Outlook email. The contractor will download the information into their system and run a variety of reports based on the vehicle identification number and warranty coverage. From this the contractor files electronic warranty claims with the manufacturers. Contractor must have the ability to handle warranty claims recalls, and technical services bulletins with the following OEM manufacturers: Altec Industries Caterpillar Daimler Chrysler Ford Motor General Motors Freightliner Navistar/International Toyota of America The contractor will send Fleet Services a monthly statement by manufacturer that identifies our work order number, equipment number, type of repair, and parts and labor dollars recovered. Usually, Fleet Services will receive a check from manufacturer within one week of the contractors statement. Contractor shall file claims for the Fleet Service Division in a timely manner. Contractor must have the ability to file claims electronically, which results in timely reimbursements. If a claim is rejected, the reason code is checked, the claim is amended (if applicable) and retransmitted to the OEM for payment Contractor will immediately notify Fleet Services on any new recalls or technical service bulletins that effect our equipment. Contractor must be established with automotive manufacturers as an approved automotive 3 rd party Warranty Vendor and have access to manufacturers web sites for checking warranty coverage by the vehicle identification numbers.
